1.      Technical Requirements

1.1.            The ELME website is best viewed with Internet Explorer.

1.2.            You must have cookies enabled on your browser to view the Members Area of the site.

2.      Site Registration

2.1.            In order to register for the ELME website, follow the 'Register Here' link from the homepage. You will be redirected to a registration validation page which will require you to enter a validation code in order to register. The code that you need to enter is ******(please email Abigail McQuatters Gollop or your Work Package leader for the validation code). This security code ensures that only people who receive the code (ELME members) are able to register for the members section of the ELME site.

2.2.            Once you enter the validation code, you will be asked to fill out a registration form. The email address and password that you enter on this form will be needed to sign in every time you visit the ELME site.

2.3.            Select your Work Package and whether you would like to receive email notifications when events are added to the ELME calendar or your Work Package's homepage is updated.

2.4.            Once you submit this form you will be automatically signed into the Members Area of the ELME site.

2.5.            At the bottom of the registration page is a 'Forgotten Password' link. This link takes you to a page where you can enter your email address and an email containing your password will be sent to you. There is another 'Forgotten Password' link on the sign in page.

 

3.      Site Navigation

3.1.            On the left hand side of the screen, in both the Public and Members Areas of the site, you will see a list of navigational links. These links help you move around the site.

 

4.      The Public Area

4.1.            The Public Area is visible to anyone who surfs onto our site. For security reasons and to prevent spamming, there will be no personal information or email addresses displayed in the Public Area of our site.

4.2.            At this time, the Public Area includes: our homepage, a summary of the ELME project, the ELME proposal of work document in .pdf form, a list of links to the institutions that make up our consortium, an ELME news page, and the results page.

4.3.            The ELME homepage displays a hit counter of how many people have visited our site so far.

 

5.      Signing in to the Members Area

5.1.            There are two ways to arrive at the sign in page: the first is on the navigational links list on the left side of the screen. This 'Sign in' link is accessible from any page in the Public Area of the site. The second link is on the site homepage.

5.2.            Clicking on either of those links will open the sign in page. To sign in, enter the email address and password that you registered with to be taken to the Members Area of the site.

5.3.            At the bottom of the sign in page is a 'Forgotten Password' link. This link takes you to a page where you can enter your email address and an email containing your password will be sent to you. There is another 'Forgotten Password' link on the registration page.

 

6.      The Members Area

6.1.            The Members Area of the site is only accessible to registered members. Therefore, any information displayed in this area is only visible to ELME members and not the general public.

6.2.            The Database

6.2.1.      When you click on the navigational link to the ELME database you are taken to a welcome page. In the top left hand corner is a database submenu with two links: 'Upload File' and 'Search Database'.

6.2.2.      Uploading a file

6.2.2.1.      Choose a name for your file and at least one keyword that describes your file.

6.2.2.2.      Use the Browse button to locate the file on your computer (alternatively you can type the file path into the text box).

6.2.2.3.      Select an option indicating if you would like the file accessible as a link from the homepage of all the Work Packages, none of the Work Packages, or just one particular Work Package. If you choose to display the file as a link on any Work Package homepage, the members of those Work Packages will be notified via email that their homepages have been updated.

6.2.2.4.      Press the Upload File button to upload your file to the ELME database.

6.2.2.5.      The ELME database currently supports the following file types:

·        Microsoft Word (.doc)

·        Microsoft Excel (.xls)

·        Microsoft PowerPoint (.ppt)

·        Microsoft Access (.mdb)

·        .htm, .html, and .asp files

·        .jpg, .jpeg, .bmp, and .gif image files

·        .mp3 and .wav audio files

·        Adobe Acrobat (.pdf)

·        Zip files (.zip)

·        .mpg, .mpeg, .asf, and .avi video files

·        text files (.txt)

·        all other files are saved as .txt files

·        support for additional file types can be added as requested

 

6.2.3.      Searching the Database and Downloading Files

6.2.3.1.      The database search engine scans file names and keywords in the ELME database and returns the results in a downloadable format. To search the database, enter one or more search terms in the search box, select whether you want the search to return results containing all of the search terms or any of the search terms, and press the Search button. To download a file, just click on the File Name link. A file download box will open, asking you to download the file to your personal computer or to open the file from the web. If the latter option is chosen, the file will open in its associated program on your machine.

6.3.            The Work Package Homepages, the ELME Project Homepage, the ELME Directory, and ELME News

6.3.1.      To add an item to a Work Package homepage, the ELME project homepage, or the ELME News page, please email it to Abigail McQuatters Gollop .

6.3.2.      The ELME Directory consists of a list of the names and email addresses of participants of the ELME project. This page is not accessible to the public in any way.

6.4.            The ELME Event Calendar

6.4.1.      Viewing the Calendar

6.4.1.1.      To view details for a particular day on the ELME Event Calendar, click on the date number on the calendar to open that day's details. For example, to view events scheduled for 4 July 2004, click on the number 4 in the calendar month of July. The details for that particular day will be displayed on the right hand side of the screen.

6.4.1.2.      To change the month viewed, click on the arrows in the dark blue bar at the top of the calendar.

6.4.2.      Adding an Event

6.4.2.1.      To add an event to the ELME Event Calendar, click on the Add Event button on the bottom of the Calendar screen. This will take you to the Add Event page.

6.4.2.2.      To add an event, first fill in the text boxes with the event's subject and details. The event's subject will be displayed on the calendar and the details will be displayed when a user clicks on that particular day on the calendar.

6.4.2.3.      The date on which the event will be scheduled to occur will be highlighted in bright blue on the calendar. If you clicked on a date before clicking the Add Event button on the main calendar page, the event you add will be scheduled to occur on that date unless you change it. If you do not select a date before going to the Add Event page, the event will be scheduled for the current date unless you change it. To change the date, just click on the date number on the calendar.

6.4.2.4.      Choose whether you would like details of your event to be emailed to everyone on the ELME project, no one at all, or the members of one particular Work Package.

6.4.2.5.      Press the Submit button to add the event to the ELME Calendar.

6.4.3.      Editing an Event

6.4.3.1.      From the main calendar page, click on an event's subject line. You will be taken to the Edit an ELME Event page.

6.4.3.2.      The procedure for editing an event is exactly the same as that for adding an event (see Section 5.4.2)

6.4.3.3.      Note - you can only edit events that you have added.

6.4.4.      Deleting an Event

6.4.4.1.      There is no procedure for deleting an event. If the event is cancelled, please note that on the Edit Event page.

6.5.     The ELME Forums

6.5.1.      See the Help documentation accessible from the forum's homepage.

6.5.2.      For security reasons you must register for the forum after registering for the ELME website. You may use the same email address and password to register for both.

6.6.    Your Profile

6.6.1.      To amend your profile, just make the required changes and press the Submit button.

6.6.2.      If you wish to change your password, follow the 'Change Password' link from the profile page.  You must enter your current password, your new password and a confirmation of your new password before pressing the Change button. The change takes effect immediately.

6.7.     Signing Out of the ELME site

6.7.1.      Click the 'Sign Out' link from the navigational links list on the left side of the screen. This ends your session with the ELME website and you must sign in again to use the Members Area. Closing your browser window will also end your session with the ELME site.

6.7.2.      If you are idle while logged into the ELME site for 10 minutes or more, you session is ended and you must log in again to have access to the Members Area of the site.
